Description and Objectives

The Administrative Officer supports project staff to perform a variety of tasks with a primary focus on anticipating and meeting admin-related needs in ways that are effective, efficient and aligned with SCIDaR objectives. He/She is responsible for providing administrative support, managing office inventory and preparing regular admin. reports (e.g. expenses and office budgets) and organizing company records.

Technical Responsibilities

Office supervision and administrative support:

  1. Serves as the focal person for managing and disseminating all communication from the Head Office regarding the state teams;
  2. Liaises with the Head Office Admin team to coordinate end-to-end travel process for state team members regarding hotels bookings and vehicle logistics;
  3. Oversee office maintenance and supervision of drivers, office assistants, and security personnel;
  4. Responsible for preparing, submitting, and reconciling advances and other financial transactions with regard to office maintenance and fleet management;
  5. Serves as the administrative point of contact for SCIDaR for external stakeholders; maintains functional contact phone for the office and ensures prompt responses to calls; receives and signs for all office-delivered mail and distributes appropriately;
  6. Other duties as assigned.

Procurement and Inventory

  1. Maintains a routinely (quarterly) updated register of all fixed assets in the organization and their employee custodians; maintaining an orderly system of goods and equipment storage, registration and inventory reconciliation within the office, including use of goods received/dispatched notes, bin cards, goods movement forms, consistent inventory tagging system, etc., as appropriate;
  2. Liaises with the Head Office Procurement Officer to ensure that SCIDaR purchasing policy and practices reflect best practices and maximize the benefit to the organization;
  3. Continuous monitoring and observation of items in store and determining what needs to be reordered;
  4. Work with Head Office Procurement Officer to negotiate material and order costs, and compile cost reports for invoices for items that need to be purchased within the state;
  5. Other duties as assigned.

Education and Experience

  1. Academic Qualification: Minimum of a Bachelor’s degree or its equivalent, in Business Administration, Business Management or related discipline;
  2. Professional Qualification: Additional professional qualification/certification is advantageous;
  3. Experience: Minimum of 2 – 4 years progressive experience in office management systems and procedures;
